How Mote Software Ltd handles personal data on this site, and when you get in touch.

Last updated 8 October 2026

Who we are

Mote Software Ltd is a private limited company registered in England & Wales, company number 15187000, with its registered office at Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA, United Kingdom. We're the data controller for the personal data described in this notice. You can reach us at [email protected].

What this website collects

This site is a set of static pages with one contact form. It has no accounts, no advertising and no third-party analytics or tracking scripts. We don't set cookies, and nothing here tracks you across other sites or fingerprints your browser.

If you pick the UK or the US at the top of the page, your browser remembers that choice in its own local storage, so the next page shows the same terms. It never leaves your device and we can't see it. Until you pick, the page guesses from your device's time zone, again without sending anything to us. Clearing your browser's site data removes it.

Our hosting provider, Cloudflare, processes standard request data to serve the site and keep it secure. That usually includes your IP address, the page you asked for, the time of the request and your browser's user-agent string. We only look at this data in aggregate, to keep the site available and secure, and we don't combine it with anything else.

Our fonts are served from this domain, so loading a page sends no requests to a third-party font service.

When you contact us

If you use the contact form or email us, we keep your name, your email address, your company name if you give it, any files you attach, and whatever you tell us about you and your company, so we can reply and decide whether we're a good fit. Our lawful basis is our legitimate interest in replying to enquiries and, if a deal goes ahead, taking steps at your request before we enter into a contract.

If you send us confidential material about your company, we treat it as confidential whether or not there's an NDA, and we don't share it beyond the two directors without your agreement.

Who we share it with

We don't sell personal data or share it for marketing. A few service providers process data for us, including our email and hosting providers. The contact form is delivered by FormSubmit (formsubmit.co), which receives what you type into the form, and any file you attach, and forwards it to the two directors by email. If a deal goes ahead, we may share relevant information with our professional advisers, such as lawyers and accountants. We'll also disclose information when the law requires it.

How long we keep it

We keep enquiry emails for up to 24 months after your last contact. If we work together, we keep records for the length of the engagement and for six years afterwards, to meet our legal and accounting obligations.

International transfers

Some of our service providers operate outside the UK. When personal data leaves the UK, it's protected by an appropriate safeguard, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

Your rights

Under UK data protection law you can ask to see the personal data we hold about you, have it corrected or erased, restrict or object to how we use it, and receive it in a portable form. Email [email protected] and we'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to put it right first.

Changes

If we change this notice, we'll update the date at the top of this page and flag any significant changes on the site.
